The Minimal Tech Stack for a One-Person Agency

You don't need 15 expensive SaaS subscriptions to run a successful freelance business. Here is the minimal, highly-efficient tech stack.

When you transition from freelancer to a "one-person agency," it's tempting to buy every software tool on the market. You think you need an enterprise CRM, a massive project management suite, and a dedicated accounting firm.

The reality? Software bloat will eat your profit margins and slow you down. The most successful solo agencies run on a surprisingly small, tightly integrated stack.

1. The Hub: Notion or Linear

You need one place where all project knowledge lives. Not scattered across Google Docs, Apple Notes, and Slack.

Use Notion for a lightweight CRM (tracking client contacts and leads) and basic project wikis. If your work is highly technical or task-heavy (like software development), Linear is unmatched for speed and keeping track of sprint tasks.

2. Communication: Google Workspace + Slack Connect

Don't overcomplicate this. A professional custom domain email (name@yourstudio.com) via Google Workspace is non-negotiable. For client comms, email is best for formal approvals, but Slack Connect is fantastic for daily banter with active clients. Just set strict notification boundaries so they don't treat you like a 24/7 employee.

3. Design & Delivery: Figma

Whether you do UI design, slide decks, or even proposal PDFs, Figma has eaten the world. It is collaborative, browser-based, and serves as both a creation tool and a presentation tool.

4. Finance & Invoicing: Invoicease

This is where freelancers make the biggest mistake. They either use messy Word documents, or they pay $40/month for complex accounting software designed for 50-person companies with inventory management.

As a solo agency, you need two things from your finance stack:

  • Invoices that look premium and reflect your brand.
  • A dashboard that tells you exactly who owes you money and when.

Invoicease is built specifically for this. It handles client creation, stunning invoice generation, and tracks your revenue without overwhelming you with balance sheets.

5. Scheduling: Cal.com or Calendly

Never play email ping-pong to schedule a kickoff call. Drop a link, let them pick a time, and let the software automatically generate the Google Meet link.

The Rule of Thumb for Buying Tools

Before adding a new tool to your stack, ask: "Does this tool directly help me deliver better work, or does it just make me feel like I'm 'doing business'?" Keep it minimal, keep your overhead low, and focus on the craft.
