Sending a late payment reminder is the most dreaded task in freelancing. You don't want to sound desperate, but you also need to pay your rent.
The trick is to remove emotion. Treat the follow-up as an administrative process. Here are three templates you can steal.
Template 1: The Friendly Nudge (1-3 Days Late)
Assume positive intent. The client probably just forgot or the invoice got buried in their inbox.
Subject: Checking in: Invoice #1024
Hi [Client Name],
I hope you're having a great week!
I'm just sending a quick note to see if you received Invoice #1024 for [Project Name], which was due on [Due Date]. I've attached a copy here for your convenience.
Let me know if you need anything else from my end to process this.
Best,
[Your Name]
Template 2: The Direct Check-In (7-10 Days Late)
At this point, they know they are late. It's time to ask for a specific timeline.
Subject: Past Due: Invoice #1024 for [Project Name]
Hi [Client Name],
I'm following up regarding Invoice #1024, which is now [X] days past due.
Could you please provide an update on the status of this payment and when I can expect it to clear? If this needs to be routed to a different department, just let me know.
Thank you,
[Your Name]
Template 3: The Final Notice (14+ Days Late)
If they are ignoring you, you need to introduce consequences (late fees or pausing work).
Subject: Action Required: Overdue Invoice #1024
Hi [Client Name],
This is my third check-in regarding Invoice #1024, which is now significantly past due.
As per our agreement, invoices that are more than 15 days late incur a 1.5% late fee. If payment is not initiated by [Date - 2 days from now], I will need to issue an updated invoice with the fee applied, and pause all current project work until the account is settled.
I value our working relationship and would love to avoid this, so please let me know today when this will be resolved.
Regards,
[Your Name]
The better way: Let software be the bad guy. When you use Invoicease, clients can see exactly when their invoice is due, and the professional format inherently commands respect and faster payment times.
